Booking Conditions


Group size
The minimum group size is 12. If the minimum is not reached, the programme will be cancelled and the deposit will be returned.

Deposits and Payments
Deposit of £400 per person is required to book the programme.

Final invoices will be sent via email and final payment will be due by March 1, 2026.

Cancellations and Refunds
Cancellations must be made directly with Barcelona Field Studies Centre in writing. Cancellation charges will apply according to the following schedule:

By January 1, 2026: Cancellation charge of £300
By April 1, 2026: 50% of tour price
By May 1, 2026: 75% of tour price
After May 2, 2026: No refunds

Photography:
Participation in this programme entitles Barcelona Field Studies Centre to unrestricted use of photographs taken during event with subject consent.

Passports and Visas
British nationals do not need a visa in advance to visit Malawi for tourism. Visitors are usually granted a 30-day tourist visa free of charge on arrival. It is recommended that you check with the UK Government Malawi Foreign Travel Advice for the latest passport and visa requirements. Passports must be valid for six months after the return of your journey and should also have sufficient blank pages for visas and immigrations stamps. You are not allowed to work as a volunteer, even unpaid, on a tourist visa.

Limits on Responsibility
Barcelona Field Studies Centre ("BFSC"), in order to make an educational opportunity available to its clients, has arranged for Orbis DMC, previously known as the Responsible Safari Company, ("Orbis"), an independent contractor, to organise the transportation, accommodation and other services from other parties related to the Malawi 2026 tour ("Tour").

BFSC and Orbis act only as agents for the passenger with respect to transportation, hotels and all other related travel services for the Tour and assume no responsibility, howsoever caused, for personal injury, damage, loss, theft, accident, expense, acts of terrorism, delay, cancellation, weather conditions, strikes, act of God or military action.

BFSC and Orbis also reserve the right to make changes in the published itineraries whenever in their judgment conditions so warrant, or if they deem it necessary for the comfort, convenience or safety of the Tour participants. They reserve the right to withdraw without penalty any Tour announced. BFSC and Orbis also reserve the right to decline to accept or retain any person as a participant in the Tour for any reason, or to require any participant to withdraw from the Tour at any time, when such an action is determined by BFSC or Orbis to be in the best interests of the health, safety, and general welfare of the group or of the individual participant. In such a case, the participant accepts all collateral costs of such a withdrawal. Baggage and personal property are the sole responsibility of the owners at all times.

The undersigned have carefully read the schedule of activities for the Tour as well as the conditions of application and participation as set forth in the Tour website and other pre-departure mailings and recognize and accept any risks thereof and the conditions set for therein, including the refund policy. In consideration of the benefits to be derived from participation in the Tour, the undersigned voluntarily accepts all risks of personal injury and property damage or loss arising from participation in the Tour. The undersigned hereby agrees that he/she and his/her dependents, heirs, executors and assigns do hereby fully and forever release and agree to hold harmless BFSC and Orbis, and the employees, officers, directors, trustees or representatives of any of them, for any and all claims, including claims relating to illness, accident, bodily injury, death or property damage, theft or loss, however caused, arising from or related to the Tour. The relationship between the undersigned and BFSC and Orbis will be governed exclusively by UK law.

Note About Costs:
Tour costs are based upon current tariffs, currency values, and on the basis of a minimum number of participants. While we will do everything possible to maintain the listed prices, they are subject to change. Should actual enrolments fall significantly below minimum numbers, a surcharge may be added.

Medical Considerations:
Please note that this Tour requires that participants be in good physical condition. You must be capable, without assistance, of walking a minimum of one kilometre over uneven terrain and of climbing stairs that may not have handrails. Participants should have sufficient stamina to keep pace with an active group of travellers on long days of touring.
